How to use WhatsApp Business for customer service: complete your business profile, share one short link, set greeting and away messages that tell customers when you will reply, save quick replies for your most common questions, use labels to track each order, keep a catalog up to date, and only message people who agreed to hear from you.
Most guides on this topic come from companies selling paid API platforms. This one is for the shop, salon, school or clinic already taking enquiries on the free WhatsApp Business app that wants faster, tidier replies without getting the number restricted. Everything below works in the free app. Menu names differ slightly between Android, iPhone and app versions.
How to use WhatsApp Business for customer service: the setup that matters
Good service on WhatsApp rests on three promises: customers know they are talking to the real business, they know when they will get an answer, and nothing they ask gets lost. Each feature covers one of these promises.
| Feature | The problem it solves |
|---|---|
| Business profile and short link | “Is this really you? Where are you? When do you open?” |
| Greeting and away messages | Customers waiting with no idea when you will reply |
| Quick replies | Typing the same answer 30 times a day |
| Labels (or lists) | Paid orders and promised call-backs buried in the chat list |
| Catalog | “Send price” messages that need a long reply each time |
In recent versions these sit in the Tools tab. Older versions keep them under Settings, then Business tools.
Set up a complete business profile and short link
Fill in every field: category, description, address, business hours, email and website. Two of these do extra work. Your business hours power the “outside of business hours” away message, and the app builds default quick replies from your profile, so customers can be sent your hours or address in two taps.
Use the description to answer the questions people ask before they buy: what you sell, which areas you serve or deliver to, how to order and when you reply. For example: “Hair and beauty salon in Yaba. Walk-ins and bookings, Tuesday to Sunday. Send the style and preferred day to book.”
WhatsApp creates a short link for every Business account. Find it under Short link in the Tools tab, where you can also switch on a default message and view a QR code for the link. You can also build the link yourself in the wa.me format: https://wa.me/234XXXXXXXXXX, using your full international number with no plus sign, leading zero, spaces, brackets or dashes. Add ?text= and a message to pre-fill it. A pre-filled line such as “Hello, I saw your flyer” tells you where each new chat came from.
The free WhatsApp chat link generator formats the number and message for you. Turn the link into a printable code with the QR code generator for your counter, receipts and shopfront.
Greeting and away messages that set expectations
According to WhatsApp’s Help Center, the greeting message goes out when a customer messages you for the first time or after 14 days with no messages. You choose the recipients: everyone, people not in your address book, everyone except selected contacts, or only selected contacts. It switches off if you connect Meta Business Agent.
The away message can run always, on a custom schedule, or outside your business hours (set these in your profile first). Both messages need your phone to be connected to the internet to send.
Make the greeting do three jobs: confirm the customer is in the right place, say when you reply, and ask for the details you will need anyway.
Hello, thank you for messaging [Business name]. We reply from 8am to 6pm, Monday to Saturday. To help us serve you faster, please send the item or service you want, the quantity and your area. Save this number to get our updates.
Thanks for your message. We are closed now and will reply from 8am tomorrow. If it is about an order you have already paid for, send your name and order date and it will be the first chat we answer.
Only promise a reply time you can keep every day. A realistic promise kept is better service than a fast one broken.
WhatsApp Business quick replies for your 10 most common questions
You can save up to 50 quick replies, each with a keyboard shortcut. Type “/” in a chat to see your list, choose one, then edit it before sending. On the phone, a quick reply can include a photo or file. On WhatsApp Web and Desktop, media in quick replies is not supported.
To find your top 10, scroll through your last 50 chats and write down every question that repeats. For most businesses the list looks like this:
- Prices or the price list (/price)
- Location and directions (/location)
- Opening hours (/hours)
- Delivery areas, fees and timing (/delivery)
- Payment details (/pay)
- How to order or book (/order)
- Availability of a product or appointment slot (/stock)
- Returns, exchanges or cancellations (/policy)
- “I have paid” confirmation and next steps (/paid)
- Thank you and review request after delivery (/thanks)
Make the payment reply word-perfect and add a line saying your account details will never change by message. It protects customers from anyone impersonating your business.
WhatsApp Business labels: turn chats into an order and follow-up board
You can create up to 20 labels and give one chat several labels. WhatsApp is gradually replacing labels with lists, so your app may show Lists in the Tools tab instead. They do the same job here.
| Label | Apply it when | Next action |
|---|---|---|
| New enquiry | First message arrives | Reply and qualify |
| Awaiting payment | Price or invoice sent | Remind once after 24 hours |
| Paid | Payment confirmed | Prepare or book |
| Ready / Dispatched | Order is out or ready for pickup | Share tracking or pickup time |
| Completed | Customer has the item or service | Send /thanks |
| Follow up | You promised a call-back | Clear it before closing |
Schools can swap these for “Admission enquiry”, “Form sent” and “Fees paid”. Clinics might use “Appointment booked” and “Results ready”. Filter by label each morning and you have a to-do list without any extra software.
WhatsApp Business catalog and price lists customers can browse
The catalog holds up to 500 products or services, each with a title, up to 10 images and optional price, description, link and product code. Find it in the Tools tab. New items appear to customers only after WhatsApp approves them, so add items before you promote them. You can group items into collections and share a link to one item or the whole catalog.
Services count too: a salon can list each style, a school its forms and uniforms, a clinic its packages. Put the catalog link in your /price quick reply.
If prices change often or you have more items than photos, make a one-page list with the price list maker and attach it to a quick reply. The caption generator helps with Status posts that point back to it.
How to avoid a WhatsApp Business ban or restriction
WhatsApp says it may restrict accounts for activity that looks like spam, automated or bulk messaging. A restricted account can still message existing contacts but cannot start new chats, create groups or use linked devices. Repeated restrictions can lead to a ban. Using modified apps such as GB WhatsApp or FM WhatsApp breaks WhatsApp’s terms and can lead to a temporary and then a permanent ban.
The law points the same way. Under section 36 of the Nigeria Data Protection Act 2023, a person can object to direct marketing at any time, and you must stop using their data for it once they do.
- Message people who contacted you first or clearly agreed to hear from you. Do not buy or scrape number lists.
- Ask before adding anyone to a group.
- End promotions with a simple opt-out, such as “Reply STOP to stop offers”, and honour it the same day with a “No marketing” label.
- Avoid auto-sender extensions and bulk-sending apps. Use only the official app.
- Keep promotional broadcasts to customers who have saved your number. If many people block or report them, WhatsApp warns you and can suspend business broadcasts for three days.
- Turn on two-step verification so no one can take over your number.
WhatsApp Business app vs API: when to move
The WhatsApp Business Platform (the API) is reached through a Meta provider. Meta charges for some messages and providers add their own fees. In return you get shared team inboxes, chatbots and automatic order updates from your website or booking system.
Stay on the free app while one or two people can answer in the day and your updates are mostly personal replies. Consider the API if three or more of these are true:
- Several staff need to reply at the same time and you need to see who answered what.
- Customers expect automatic messages, such as order confirmations or appointment reminders, sent by your system.
- Chats regularly go unanswered for hours despite quick replies and labels.
- You need reports on response times and outcomes.
You may not have to give up the app. Meta’s coexistence option lets a provider connect your existing app number to the Cloud API. It is still in beta, and Meta lists Nigerian numbers as supported. Messages you send from the app stay free, the last six months of one-to-one chats can sync, and existing broadcast lists become read-only. Confirm the details with your provider before you switch. A weekly WhatsApp customer service routine
Features only help if someone works them. This routine takes about 15 minutes a day plus half an hour each week:
- Every morning: answer chats that arrived after hours first, then work through “Paid” and “Follow up”.
- Through the day: label every new chat before you close it, and keep to the reply time your greeting promises.
- Before closing: clear “Follow up” or tell each customer when you will get back to them.
- Every Monday: update catalog stock and prices, refresh any quick reply that staff keep editing, check the away message for public holidays, and move finished chats from “Completed” off your active labels.
If staff answer from a laptop, keep the main business phone in use. WhatsApp logs linked devices out when the phone is unused for more than 14 days. More ideas for shops, schools, clinics and other customer-facing teams are on the physical organizations page.
Frequently asked questions
Can I run WhatsApp Business and my personal WhatsApp on one phone?
Yes, as long as each app uses a different phone number. Many owners keep a dedicated business line so personal and customer chats stay apart, and so the number can be handed to a staff member or kept if a phone is lost.
Can my staff answer customers from their own phones?
Not from their own WhatsApp accounts, if you want one shared history. Link the business account to WhatsApp Web or Desktop on a work laptop instead. Keep the main business phone in use, because linked devices log out when it is unused for more than 14 days.
Why do some customers not receive my broadcast messages?
Broadcast lists only reach people who have saved your number in their phone contacts. Each list holds up to 256 contacts. Ask customers to save your number, for example in your greeting message, and never use broadcasts to reach people who have not agreed to hear from you.
Is the WhatsApp Business app free?
Yes. Downloading the app and using the profile, catalog, quick replies, labels, greeting and away messages costs nothing. Some extras are paid, such as Meta Verified and, in countries where they are offered, marketing messages (business broadcasts), which are charged per delivered message.
